Custom apps

How does a custom business app project work?

Short answer: A useful app project starts by defining the users and workflow, checking feasibility and agreeing the scope. Design, build, testing and launch follow that agreement. The exact stages, price, timetable and support are confirmed for your project.

1.Map the work and the people

Show how the job happens today. Identify who starts it, the information they provide, who reviews it and what a finished outcome looks like. Include the awkward cases: a duplicate request, a missing document, a cancellation or a person who should not see another customer's records. These details shape the app more than a list of screens.

    2.Check the connections and constraints

List the systems that hold your data and the actions the app needs to perform. A connection is not confirmed just because two products have APIs. Permissions, vendor approval, available endpoints, usage limits and data quality can affect feasibility. Decide whether the first version can work with a simpler manual handoff while a connection is assessed.

    3.Agree a written scope

Your scope should identify the users, features, supported platforms, data responsibilities, integrations and exclusions. It should explain pricing, third-party costs, the delivery plan, acceptance checks and what happens when requirements change. Ask how account access, ownership, hosting, maintenance and handover are handled. We agree these details before implementation rather than assuming one package fits every app.

    4.Review a prototype

A prototype helps you review the main journey before a full build. Walk through the important actions: entering a request, reviewing it, correcting an error and seeing the next step. A visual prototype is a design example; it does not prove that a payment, booking, upload or system integration is working. We distinguish concepts from connected functionality.

5.Build and test the agreed workflow

Test both the successful path and the exceptions with appropriate sample data. Check required fields, permissions, duplicate handling, errors, mobile layouts and the handoff to a person. Confirm what is saved, who receives it and what happens if a connected service is unavailable. Features involving sensitive information or money need controls appropriate to the agreed use.

    6.Launch with clear responsibilities

Agree who approves launch, supplies account access, receives enquiries and handles support. Confirm ongoing charges, updates, backups and maintenance responsibilities where applicable. Browser availability, iOS or Android delivery and app-store submissions depend on the project scope. A live product and a reviewable concept should never be presented as the same thing.

    Try a complete workflow

One request, from customer to team and back.

A fictional design studio needs a customer to review a proof before the team hands over the work. Try the normal path and a revision, then check the second customer’s view.

Interactive planning example with sample data. Nothing is booked, saved or sent. View switching illustrates access requirements; it is not a login or a test of production security.

Customer A viewReview your own sample request. Another customer’s request is not shown in this view.

    Not started

The customer starts their own sample request.

Start Customer A’s sample request, then switch to the team view.

For a real app, agree who can see each record, who can approve changes and what happens after a revision. Accounts, permissions, storage, notifications and integrations are specified and tested separately. This example contains no real customer work or measured client results.

Bring this to your first discussion

    • One sentence describing the problem
    • The main users
    • One example of the current process
    • Three essential actions
    • Required systems
    • Information and access restrictions
    • Your priorities and available budget

You do not need a perfect technical specification to start a discussion.

    Talk through your idea

We can help turn the workflow into a feasible scope and written quote. Start with the job you need done and the people who will use it. See also custom apps and our guide on website vs app vs client portal.
