AI receptionist budgeting

What affects AI receptionist costs in Australia?

Short answer: The useful comparison is the total cost of handling your calls. An AI receptionist quote should explain setup, ongoing fees, included usage and what happens when your call volume changes.

Compare the same service, not just the subscription

An AI answering subscription, a configured receptionist and an ongoing managed service can include different work. One may give you software to set up yourself; another may include call rules, approved answers, testing and ongoing changes. Ask which part you are buying.

Write down the calls the system should handle and the calls it should pass to a person. A basic message-taking flow is a different project from checking availability, making bookings or updating a business record. Confirm the required connections before treating those actions as included.

    Compare the billing unit first

Two plans with the same monthly fee can cover different usage. Check the allowance and extra-use rate in the provider’s own billing unit:

    • Per minute: billable duration, rounding and included minutes.
    • Per call: which answered calls count, the call allowance and extra-call rate.
    • Per unique customer: how a customer is identified and whether repeat calls count again within the billing period.

Use your call pattern to estimate usage

Start with available call records, not an industry average. Note the number of calls, their duration, busy periods and how often the caller needs a person. Keep genuine enquiries separate from spam, supplier calls and your own testing.

Use a range if volume is uncertain. A quieter month and a busier month can help you see where extra charges begin. Check the billing rules: the time used in a supplier's invoice may not match the duration shown in your current phone log.

A forecast is a planning input, not a prediction. Reconcile it against actual billed usage after launch and confirm who is authorised to change any budget or usage limit.

    Check transfers, bookings and exceptions

Ask what happens if the nominated person does not answer a transfer, the requested appointment is unavailable or the caller gives incomplete information. A system that takes the call but leaves staff to reconstruct the enquiry may create more work than the headline suggests.

Agree approved answers, escalation rules and a fallback message before launch. Decide what the AI can change and what needs a person's decision. If recordings, transcripts or personal information are involved, confirm the notice, access and retention arrangements appropriate to the business.

    • Check a routine call and a call that must be handed to a person.
    • Check the receiving record, booking result and owner notification separately.
    • Review unclear answers and failed transfers as well as successful calls.
    • Agree how usage, errors and requested changes will be reviewed.

    Use the minute-based cost worksheet

Enter figures from a quote using the same GST basis throughout. This worksheet is for minute-based plans only; it does not model per-call or per-unique-customer billing, rounded call blocks, taxes or unquoted charges. Leave a figure at zero only if you have confirmed it is zero.

The recurring estimate adds the quoted monthly fee, extra minutes and other monthly charges. The planning equivalent spreads the one-off setup amount across the number of months you choose. That allocation is not a payment schedule or a YungsEnterprises quote.

Planning only. Enter amounts from the same quote on the same GST basis. Blank cost fields are treated as zero. Check the quote for charges this worksheet does not cover.

Keep a standalone receptionist quote distinct from a package

YungsEnterprises discusses AI receptionist requirements as part of the agreed business setup. The CRM & AI page describes a broader package; its indicative figure should not be read as a standalone receptionist price. Use the pricing page and written proposal to confirm the actual service, usage and ongoing responsibilities.

Bring your call pattern, the questions callers ask, the booking or business systems involved and the exceptions a person must handle. Those details make the quote more useful than asking for an unlimited AI receptionist without defining what unlimited or handled means.

Turn the questions into a clear scope

Tell us what your business needs. We will discuss the feasible approach and confirm scope and pricing in writing.

    Separate setup from ongoing charges

Setup may cover call-flow planning, business information, integrations and testing. Ongoing charges may cover software, phone services, usage and support. Ask which items are included and which are billed separately.

    Compare the same usage assumptions

Provide a recent call count and a realistic average conversation length. Ask how included calls or minutes are measured, whether transfers create extra charges and how overages are billed. Check whether the quote is in AUD and how GST is shown.

    Check what happens after launch

Ask who updates the call flow, checks failures and handles support. Confirm the fallback if the AI or connected calendar is unavailable. Before choosing, test the calls your business actually receives and compare the written scope.

    Questions before you start

Is a monthly fee the total cost?

Not necessarily. Check setup, phone services, usage, overages, integrations and support in the written quote.

    Do longer calls cost more?

They can where usage is billed by time. Ask how each provider measures and rounds billable usage.

Why don’t you show a fixed price here?

Requirements differ. A useful quote needs agreed call volume, features, integrations and support responsibilities.

Ask for an AI receptionist scope.
