Appointments and scheduling
Booking apps built around how you take bookings.
A booking system needs to match the way your business works. We plan booking apps around your services, staff, resources and customer journey, so the process is clear from selecting a time to receiving confirmation.
Existing booking software or a custom app?
A booking link may be enough when customers choose a service, select an available time and receive confirmation. Setting up suitable existing software can be the right first step. A custom app is worth assessing when the appointment depends on several resources, staff approval or a workflow your current software cannot handle.
For example, a booking might need both an available specialist and a particular room, followed by a staff check. That is an illustrative requirement, not a claim of a completed client system. Our custom app versus existing software guide helps compare the options before committing to development.
Agree the rules behind each available time
The calendar screen follows the rules of your business. We define those rules with you before agreeing the first release.
- Availability
- Which staff member, room or resource must be free? Include service length, preparation and travel buffers.
- Confirmation
- Is a selected time confirmed immediately, held temporarily or sent to staff for approval?
- Changes
- Who may cancel or reschedule, how much notice is needed and when is capacity released?
- Notifications
- Who receives each update, which channel is permitted and what happens if delivery fails?
Time zones, daylight-saving changes, holidays, staff leave and recurring appointments need explicit decisions where relevant. Group capacity, waitlists, deposits and cancellation charges are separate requirements to assess. Nothing on this page establishes a payment policy or automatically adds those features.
A clear path from request to confirmed appointment
- Choose the appointment. Show the service, location, duration and information needed to proceed.
- Check current availability. Decide which system owns the appointment and recheck capacity when the customer submits.
- Confirm or request approval. Keep a pending request distinct from an accepted booking, with a clear next action.
- Handle changes. Apply the agreed cancellation and rescheduling rules to both the customer record and staff calendar.
- Complete the handoff. Give staff the relevant appointment details and a way to handle an exception.
This is a planning example. The proposal sets the actual steps and what the system may do automatically. AI phone or chat booking is a separate scope item; it needs the same confirmed availability and handoff rules. Explore our AI receptionist service if that is part of your project.
Keep calendars, records and messages consistent
We check the supported access for your calendar, CRM and other required tools before relying on a connection. The scope identifies which system is authoritative, what each connection can read or change and who handles a failed update. Existing subscriptions, vendor limits and permissions may affect the approach.
A confirmation message is not a substitute for a saved appointment. Acceptance checks should cover two people selecting the same remaining time, a repeated submission, a calendar change during checkout and a failed connection. A change or cancellation must also update the right record. Requirements involving deposits, refunds or payment failures need their own agreed checks.
For the staff follow-up around an appointment, see CRM and business automation. If customers also need documents and ongoing account updates, a client portal may be part of the wider project.
What determines the build and ongoing cost?
Services, locations, staff roles, resource capacity, connected systems and change rules affect the work. We agree a written scope covering the first release, checks, hosting, licences, support and ownership responsibilities. Booking apps are quoted individually; a managed website plan does not automatically include custom scheduling software.
A responsive web app can be scoped for phone and desktop browsers. Native mobile apps, app-store distribution and offline booking need separate assessment. Share one appointment type, your current tools and the main exception in the app-project brief builder. Use sample information rather than customer records or account credentials.
Start with one appointment your team needs to manage
Tell us who books it, what needs to be available and what staff do next. We will discuss the suitable setup and confirm the proposed scope in writing.
